The Development Associate provides administrative support to the External Engagement Department, completing routine tasks as well as special projects and assignments. The Associate manages and coordinates mailings, schedules meetings, oversees donor acknowledgments, maintains the donor database, and conducts financial reporting and reconciliations with the finance team. This role works closely with the individual giving area to support the needs related to major gifts and special events. 



Development Support (50%)

  • Provide administrative support to the External Engagement team, including preparing mailings, recording and processing team finances and credit card receipts, answering phones, processing mail, and maintaining accurate file-keeping in both hard copy and on the server
  • Serve as primary point of contact for development related inquiries from internal and external constituents
  • Liaise between External Engagement and Finance departments for individual contribution and department wide financial matters including documentation for annual financial audits
  • Draft, edit, and complete pledge, gift, and meeting acknowledgment letters and other correspondence
  • Work with Vendor Management on creating and processing orders for department
  • Monitor and maintain back-end functions of online platforms, payment processors, and matching gift portals

Database Management (20%)

  • Track and process gifts received from all individual donors, including keeping detailed copies and records of gifts
  • Produce financial reporting for the team
  • Compile data and run reports for daily and monthly agency-wide reporting
  • Process gifts, write personalized acknowledgement notes, handle print and electronic correspondence, and assist in preparation of fundraising mailings and emails
  • Ongoing daily and monthly reconciliation of individual contributions
  • Update Raiser's Edge database records with pledge documentation, constituent action details, and other data
  • Build and maintain analytical reports, queries, and exports
  • Research strategies and solutions for long-term database improvement
  • Perform research on prospects and individual donors in ResearchPoint database
  • Train others in agency in Raiser’s Edge as needed

Event Support (20%)

  •  Act as a key player in supporting the Educational Alliance annual gala, including all gift entry and event registration organization in Raiser’s Edge
  • Track outreach of Gala attendees and donors
  • Maintain all guest and seating information for the Gala
  • Assure that relationship management information in the donor database is up to date and accurate
  • Pull event and seating details to coordinate the registration process at the Gala using Raiser’s Edge Event Module
  • Serve as leader to the team of volunteers that assist in registration of guests as they arrive at the Gala
  • Organize and coordinate materials and other details throughout the Gala planning and execution process
  • Provide administrative support for other smaller events throughout the year

  • Attend staff meetings and trainings as required
  • Perform special projects and other duties as assigned



  • Bachelor’s Degree and 2 years of related professional work experience
  • Proficiency with Raiser’s Edge required
  • Outstanding written and oral communications skills
  • Team player and a passion to build relationships with internal and external stakeholders
  • Capable of processing and organizing large amounts of information quickly
  • Excellent customer service skills handling matters in courteous, friendly and timely manner
  • Ability to maintain donor confidentiality
  • Self-motivated, highly efficient, strong attention to details
  • Detail oriented
  • Ability to work in high pressure environment
  • Computer proficiency in Microsoft Office (word, excel, outlook) 
  • Able to work a flexible schedule as needed (evenings and weekends)
